The problem
A three-person landscaping crew was great at the work and terrible at the paperwork — by their own admission. Quotes went out, then sat. By the time anyone followed up, the customer had often gone with whoever called back first. Reviews, which drive most of their new leads, were rarely requested.
What we built
A focused follow-through agent wired into their existing quoting tool and calendar:
- Quote follow-ups drafted automatically two days after a quote, in the owner’s voice, sent after a one-tap approval.
- Cancellation backfill — when weather cancelled a job, the agent surfaced nearby pending quotes to slot in.
- Review requests sent the evening after a completed job, when satisfaction is highest.
Every outbound message was reviewable. The owner stayed in control; the agent removed the friction.
The result
Within two months, the crew was converting noticeably more quotes — roughly a fifth more — simply by being the business that followed up. Review volume climbed, which fed the top of the funnel. No new hire, no new app to babysit.
The pattern
This is the follow-through pattern in action: revenue the business had already earned the right to, recovered by closing the gap between “quote sent” and “job booked.”
